Employee Privacy Notice

This Employee Privacy Notice (“Notice”) describes how Reliance, Inc., a Delaware corporation, collects, uses, and discloses personal information about you in the course of your employment, or candidacy for employment, by Reliance, and the rights you may have under applicable laws regarding your personal information.
A reference to “Reliance,” “we,” “us” or “our” is a reference to Reliance, Inc., a Delaware corporation, or its applicable affiliate, as the case may be, which is involved in the collection, use, disclosure, or other processing of personal information.
Many countries have specific legal requirements governing the use of personal information, including employee personal information. Accordingly, Reliance’s collection and processing of employee personal information may differ depending on the countries involved. In addition, this may be supplemented by country-specific notices in certain circumstances.
Categories of Information We Collect About You
Personal information is data that identifies, relates to, describes, can be used to contact, or could reasonably be linked directly or indirectly to you.
You may not be required to provide us with certain personal information requested and the provision of such information is voluntary. However, some personal information is necessary for the purposes described in this Notice and, therefore, if you fail to provide certain personal information, we may not be able to enter into an employment arrangement with you or subsequently perform our obligations to you both under your employment arrangement and in compliance with legal requirements. For example, you must provide us with your government-issued identification number so we can verify your identity and authorization to work.
Information We Collect Directly From You. Subject to local law, we may collect the following categories of personal information directly from you in the course of your employment:
- Identifiers: Such as your name, date of birth, passport, visa, driver’s license, government-issued identification numbers, vehicle registration and signature.
- Contact information: Such as your physical address, email address (which, where a Reliance email address is not provided, may be a personal email address) and phone number.
- Personal details: Such as your marital status, citizenship, residency or domicile and immigration status.
- Protected characteristics: Such as gender, age (over 40), military or veteran status, race, ethnicity and disability status, etc.
- Professional or employment-related information: Such as employer, job title, job commencement date, Reliance identification number, Reliance location and contact details, work history, training records, details of absence(s), emergency contact and dependents information, performance records, attendance, disciplinary and grievance records, experience or expertise, professional contact information, location of employment, working hours, work days, holidays, work duties, professional biography, travel and expenses data, skills, interests, professional membership, compliance/training records, career planning reports, annual review reports, right to work documentation, benefits information, references, and any other information provided in your resume or CV or otherwise uploaded to the employee portal.
- Education information: Such as information about where you attended school, your academic history, certifications, and GPA.
- Inferences: Such as your preferences, characteristics, soft-skills, and behavior.
- Financial information: Such as salary, compensation history, pension and benefit allowance information, payroll records, your bank account information, tax status or expenses, etc.
- Audio, electronic, visual, or similar information: Such as professional photographs, photographs taken in the workplace/worksite or Reliance event location, or CCTV footage.
- Sensitive personal information, as described below.
We collect the following categories of personal information about you directly from you, which may be considered sensitive in some jurisdictions:
- Information about personal characteristics: Such as your nationality, race or ethnicity, disability status and trade union membership, where required by applicable law or provided voluntarily by you.
- Information about criminal convictions and offenses: Such as information about criminal history, or the results of a background check (where permitted under local law).
- Information about your health: Such as any medical condition, vaccination status and/or disability, or information collected during health screenings where applicable.
- Information regarding precise geolocation: when used for health and safety purposes and/or on or in connection with project site and system access, travel to/from project sites in hard-to-reach locations, or for emergency purposes.
- Biometric information: such as fingerprint or retina scans used for biometric timekeeping systems or property access or facial geometry data processed via facial recognition technology used for systems access (e.g. password management).
- Other information: Such as your social security number, driver’s license, passport number, or similar government ID and bank account information (e.g. for processing payroll).
Information We Collect From Third Parties. Subject to local law, we sometimes collect certain information about you from third parties including your former employer or your other reference providers, background check providers or credit reference agencies, government agencies, business partners and affiliates (in the context of a merger, acquisition, or other transfer of ownership or assets), higher education institutions and other related sources. We may also collect publicly available profile information from a company website, internet searches, or from social media platforms such as LinkedIn. We may also collect information about your performance or conduct from other employees, clients or service providers you work with who may provide feedback about you for performance reviews.
We collect the following categories of personal information about you from third parties:
- Professional or employment-related information: Such as experience or expertise, education history, performance or conduct, location of employment, working hours, workdays, work duties, professional biography, skills, professional membership and compliance/training records.
- Educational information: Such as references.
- Personal details: Such as your citizenship, residency or domicile and immigration status.
- Financial details: Such as tax status.
- Information about criminal convictions and offenses: Such as information about criminal history (which may be considered sensitive in some jurisdictions).
Information We Collect Automatically. Subject to local law, we automatically collect personal information when you access Reliance websites, including www.reliance.com, using cookies, pixel tags, or similar technologies. We collect the following categories of personal information about you automatically through our website and your use of certain tools, e.g. to improve our systems and services and to verify license compliance, including:
- Identifiers: Such as your IP address, usernames and passwords.
- Internet and other electronic network activity: Internet or other electronic network activity information, including browser type and operating system; browsing history, clickstream data, search history, and information regarding your interaction with an internet website or application, including access logs, uploads and downloads, and other activity information.
How We Use Your Information and The Basis on Which We Use It
Subject to local law, we use the categories of personal information described above for the following business purposes (some of which may only apply to certain employees, e.g., executives):
- To determine eligibility for hiring, including the verification of references and qualifications and, where permitted by law, administering background checks.
- To administer your salary, payroll and benefits, such as compensation, expense reimbursement, enrolling you in a retirement program as applicable (e.g. 401k, pension arrangement, etc.) or providing with you with vendors for the purposes of administering benefits and benefits related programs.
- To assess your performance and support you in career development, such as performance management, career development, training, and continued employment.
- To support workplace safety initiatives, including use of CCTV to analyze safety practices at jobsites and create safety training materials.
- To provide activities relating to our commercial operations in the context of your role, such as providing facility and systems access, project staffing, mobility and travel management, vacation and leave management, communications and event promotions, and other administrative functions.
- To review work performance and where appropriate conduct disciplinary action or termination.
- To communicate with you (including to inform you of company-wide initiatives) and respond to your inquiries.
- To comply with our legal obligations or exercise or defend our rights or the rights of a third party, including complying with law enforcement or government authority requests and participating in compliance audits.
- Where we believe necessary, to investigate, prevent or take action regarding suspected or actual illegal activities, fraud, situations involving potential threats to the safety of any person or to otherwise enforce Reliance policies, including Corporate and Industrial Security.
- For IT identification and authentication purposes. For example, when you enter your login ID and passwords to access Reliance or Reliance partner systems, your credentials and password will be used for authentication purposes.
- To comply with our equal opportunities and reporting obligations in certain jurisdictions.
- For business and financial administration, including record keeping and tax reporting obligations, banking, accounting, auditing, financial and business planning, client reimbursement, entity formation and closures, acquisition and divestitures, understanding employee retention and attrition rates, social activities and employee engagement (where applicable), and arranging systems and building access.
- Use of photographs. Photographs taken in the workplace may be used to highlight projects, for marketing purposes, events or other company sponsored initiatives or for any other legitimate business purpose, but reasonable efforts will be made to obtain your consent prior to the use of photographs for external advertising and communications.
- Workforce Management. We use third-party tools to assist us with our internal recruitment and advancement processes. In particular, by analyzing your data, these tools provide insights enabling us to identify the most suitable and appropriately skilled internal candidates for specific job postings and future job opportunities, enhance the overall quality of internal hires, and improve efficiencies and communication with internal candidates regarding the recruitment process.
- In the context of specific roles. Personal information of certain executives or other specific roles within the company may be used or shared with third parties in connection with Reliance’s commercial operations and for compliance with applicable legal or regulatory obligations. For example, information may be shared with tax authorities for tax reporting purposes; with government agencies or other authorized bodies in connection with compliance with trade control regulations; with local government authorities for the formation (or dissolution) of affiliated entities and the registration of associated names; with banks, financial institutions, and similar entities in connection with Know Your Customer (KYC) requirements to verify your identity and assess risks; with relevant authorities in connection with Beneficial Owner Reporting requirements; and with government agencies for the registration of intellectual property.
We use the categories of your personal information that may be considered sensitive in some jurisdictions for the following purposes:
- We will use information about your race or national or ethnic origin and religious beliefs to support the development of programs and ensure meaningful equal opportunity monitoring and reporting.
- We will use information about your health, or disability status, for occupational health purposes to ensure your health and safety in the workplace, to assess your fitness to work, to administer employee benefits and to provide appropriate workplace accommodations.
- We will use information about criminal convictions and offenses (where permitted by law) for HR administration purposes, including to maintain the security of our assets, premises, and staff and in connection with hiring decisions.
- We will use information such as social security numbers and other government IDs for HR and business administration purposes or as necessary for compliance with laws.
We will use sensitive personal information only as permitted by applicable laws.
We may also deidentify or anonymize your information in such a way that you may not reasonably be re-identified by us or another party, and we may use this deidentified data for any purpose. To the extent we deidentify any data originally based on personal information, we will maintain and use such information in deidentified form and will not attempt to reidentify the data.
Our legal bases for processing your information are as follows:
- Performance of employer obligations: We process personal information where necessary for the performance of obligations arising from your employment with Reliance, or to take steps at your request to enter into such an employment relationship (such as necessary pre-employment checks).
- Compliance with legal obligations: We process personal information where necessary for compliance with legal obligations to which Reliance is subject. We also process personal information to comply with our legal obligations to you, for example to maintain a safe work environment and to meet other such health and safety obligations that we must comply with as your employer. We also process personal information to exercise Reliance’s legal rights where it is necessary to do so, for example to detect, prevent and respond to fraud claims, intellectual property claims or violations of law.
- Legitimate interests: We process your personal information where necessary to serve our legitimate business interests, for example to ensure that we can effectively manage human resources, to manage our business operations and administration, support workplace safety initiatives, to provide you access to systems, to perform investigations, and for compliance audits and other government or regulatory reporting.. When we use personal information to meet our legitimate interests, we take steps to ensure that your rights are not infringed.
- Vital interests: We may process your personal information where necessary to protect your vital interests (e.g., in a medical emergency) when you may be incapable of giving consent.
- Consent: Where required by applicable law, we process personal information on the basis of your consent, as provided by you by your affirmative action in the form of clicking the accept or submission button, written signature below or elsewhere on your employment documentation, completing a form at the time of collection, and/or other such means. Such action will also signify unambiguous consent in countries and circumstances where Reliance is required to obtain consent to collect certain elements of personal information from you. To the extent we obtain your consent to process your personal information, you may have the right to withdraw your consent under applicable local law. How We Disclose the Information We Collect
We may disclose each of the categories of personal information described above in order to fulfil our employment obligations and for the business purposes described above as follows:
To the following groups for the purposes described:
- Affiliates. We may disclose the personal information we collect about you to our subsidiaries and affiliated entities as appropriate to fulfil business-related purposes, such as for payroll, administration, site administration, and provision of benefits, IT infrastructure, etc.
- Service Providers. We disclose the personal information we collect about you to service providers, contractors, and agents who perform functions and business operations on our behalf or directly to you, for the purposes set out above. For example, payroll and benefit plan/program providers; insurance providers; accounting and legal advisors; emergency service providers; safety monitoring providers; and providers of systems and applications.
- Clients and Other Third Parties (including government authorities and regulatory agencies). We may disclose personal information in connection with performance on projects, e.g. for the purpose of project staffing, site administration and access, access to systems and applications, investigations (e.g. a data security breach), and regulatory-based funding or certification requirements. This may include biometric data where site access includes biometric access to facilities and systems, where permitted by applicable local law.
And, in the following other contexts:
- Business Transfers. If (i) we or our affiliates are or may be acquired by, merged with, or invested in by another company, or (ii) if any of our assets are or may be transferred to another company, whether as part of a divestiture, bankruptcy or insolvency proceeding or otherwise, we may transfer the information we have collected about you to the other company. As part of the business transfer process, we may disclose certain of your information with lenders, auditors, and third party advisors, including attorneys and consultants.
- In Response to Legal Process. We may disclose your personal information to comply with the law, a judicial or administrative proceeding, court order, or other legal process, such as in response to a court order or a subpoena.
- To Protect Us and Others. We disclose your personal information where we believe it is appropriate to do so to investigate, prevent, or take action regarding illegal activities, suspected fraud, situations involving potential threats to the safety of any person, violations of Reliance policies, or as evidence in litigation in which we are involved.
- Aggregate and De-Identified Information. We may disclose aggregate, anonymized, or de-identified information about you for any purpose permitted under applicable local law.
- Consent. We may also disclose your personal information with your consent, where permitted by applicable local law.

- ask that we transfer the personal information you gave us to another organization, or to you, in certain circumstances (referred to as data portability).
- where you have provided consent, withdraw such consent to our processing of your personal information at any time.
- not be unlawfully discriminated against for exercising your rights.
- lodge a complaint with your local data protection authority.
These rights may be limited or denied in some circumstances. For example, we may retain your personal information where required or permitted by applicable law. We do not “sell” or “share” the personal information described in this Notice (as those terms are defined under applicable local law). We do not use or disclose your sensitive personal information for purposes other than permitted under applicable law.
Where legally required and pursuant to company policy the company will respond to data subject rights requests. To exercise your data subject rights under applicable local law, please contact us using the contact details provided in the “Contact Us” section below. We may request that you or your authorized agent provide information such as your email address, name, employee ID, employment details (such as entity employed with, employment dates and location), date of submission, relationship to us, and the nature of your request so that we can verify your request. Authorized agents may also be required to provide a copy of the employee’s signed permission authorizing the agent to submit requests on the employee’s behalf. We will not discriminate against you if you choose to exercise your privacy rights.
Retention
Your personal information will be held for only so long as it is needed for Reliance’s purposes as described above, and in accordance with applicable law and corporate document retention schedules. These schedules are designed to comply with applicable data privacy and other legislation, and to assist Reliance in maintaining business records which it may need to conduct its business and to respond to lawful requests for information in connection with legal claims or disputes. Security of My Information
We implement physical, technical, and organizational security measures designed to safeguard personal information. These measures are aimed to protect the personal information we collect from loss, misuse, and unauthorized access, disclosure, alteration, and destruction. Please be aware that despite our efforts, no data security measures can guarantee security.
International Transfers
Your personal information may be transferred to, stored or otherwise processed in servers and databases located outside of the jurisdiction in which you reside and where the privacy laws may not be as protective as your jurisdiction of residence. Where legally required, we have put in place appropriate safeguards, including contractual commitments (as applicable) to protect your personal information.
